Overview
The Estate and Staff Manager is responsible for the overall management of multiple residences and their staff in Switzerland and France, ensuring that all properties, gardens, and services are maintained to an exceptional standard. The role requires continuous oversight of staff, strong vendor and contractor management, a wide network of specialists, and a disciplined focus on cost-efficiency.
Key Responsibilities
Estate, Staff & Operations
Manage and coordinate staff across several houses in Switzerland and France, including housekeepers, gardeners, drivers, and chefs.
Provide continuous oversight of staff to ensure that all work is performed to the highest standard and in line with family expectations.
Oversee the maintenance and upkeep of all residences, ensuring properties are fully operational and always presentation ready.
Ensure gardens and outdoor areas are properly maintained and seasonally prepared.
Plan and supervise maintenance schedules; liaise with service providers, contractors, and local authorities in Switzerland and France.
Maintain and leverage a significant network of reliable specialists (e.g., technical, security, landscaping, renovation, luxury services) in both Switzerland and France.
Oversee the management and maintenance of vehicles located at the various residences.
Cost, Procurement & Food Oversight
Prepare, monitor, and report on household and estate operating budgets in collaboration with the Family Office, with a strong focus on cost-efficiency.
Review and approve invoices, negotiate with suppliers, and continually optimise costs while ensuring quality and transparency.
Maintain accurate administrative, personnel, and financial records in line with internal standards.
Oversee and control food purchasing and inventory for all residences, ensuring quality, freshness, and budget discipline.
Supervise and coordinate chefs, including menu planning aligned with family preferences, dietary requirements, and cost controls.
Implement and maintain clear procedures and standards for hospitality, table service, and event catering at the residences. Coordination & Service
Work closely with the Principal, family members, Personal Assistant, and Family Office to anticipate needs and plan ahead.
Support logistics for family travel and arrivals at different residences (readiness of houses, staff planning, provisioning).
Ensure a consistently high level of service delivery across all locations, proactively resolving issues before they impact the family.
Candidate Requirements
Proven experience as an Estate Manager, Household Manager, Hotel Manager or similar leadership role within private households and multi-property estates.
Strong people-management skills and experience leading and motivating multicultural teams.
Extensive network of relevant service providers and specialists in both Switzerland and France, or the ability to build such a network quickly.
Solid experience in budgeting, financial oversight and cost-optimisation for large private households or estates.
Fluency in English and French is required; Russian is preferred.
Excellent organisational skills, attention to detail, and a hands-on, solution oriented approach.
Valid driver’s license and readiness to travel frequently between residences.
High level of discretion, integrity, and flexibility, including availability outside standard office hours
